Edit Metadata (Personal Info, Document Info, or Degree Info)

Editing Metadata in Vireo 

Administrative users in Vireo can edit any data provided by the student (or any data autopopulated by your institution’s identity provider) about himself/herself, the dissertation, or the degree.

This information can be edited in the View tab for the ETD record. It appears at the top of the page, directly under the heading that include the student’s name, major and degree. It includes three tabs: Personal Info, Document Info, and Degree Info.

Adding or editing metadata

Too add or edit metadata, click directly on the field value you want to change, and an editable box will appear. For instance, in the record below, if you click on “Joe” in the “First Name” field, Joe will instantly become editable. (If you click on “none” in one of the blank fields, the same thing will happen.)

To save your change, click on the disk icon next to the editable text box, or simply click anywhere outside the text box and the system will save the change. Any change will then be recorded in the Action Log for this record.

Editing the Abstract field 

If you need to edit the Abstract field, click inside the abstract text (as you would for any other editable field). The abstract text will appear in a popup window.

Edit the text as necessary and click UPDATE ABSTRACT. The abstract will be updated and an entry will appear in the Action Log for this record.

Editing Committee Members 

You can edit names of the student’s dissertation committee members in the same way as other metadata fields.

You may also change the designated committee chair, add a second (or third….) chair, or remove the chair designation from an existing member by using the check boxes next to the members’ names.

Note, too, that you are able to send an “advisor approval” email to the student’s faculty chair from this screen by clicking the “SEND ADVISOR APPROVAL EMAIL” button. Clicking this button will automatically send the default “advisor approval” email — you will not have the ability to edit the email before it is sent. Administrative superusers/managers set this default email in the Email Settings sub tab of the Settings section of Vireo.

Required Fields 

Certain metadata fields cannot be left blank in the ETD record. If an administrative user tries to delete data in any of these fields and saves, then the original data will reappear instead of a blank field. Go to the Required Fields article to see a list of these fields.
