MISSION

The TDL OJS User Group works to create an active community among TDL’s users of the Open Journal System hosting service in the following ways:

• By facilitating mutual support among library managers of the OJS hosting service, including the sharing of resources about library publishing policies and good practices

• By facilitating better communication between TDL staff and libraries using this service

• By identifying areas of work that could be undertaken by member-led working groups

ORGANIZATIONAL STRUCTURE & LEADERSHIP

• The group has a Chair and Vice Chair/Chair-Elect. 

• Each position has a one-year term starting in January, with the Vice Chair/Chair-Elect becoming Chair.

• The Chair and Vice Chair are nominated or self-nominated from within the User Group and approved by TDL staff.

• TDL will assign a staff co-facilitator to the group, as outlined in the User Group policy.

MEMBERSHIP

• The group is open to TDL Regular members and OJS Affiliate members.

• Managers and library staff supporting the OJS service at member libraries are eligible for membership in the group.

ROLES & RESPONSIBILITIES

• Chair

  • Set and share out meeting agendas and preside at meetings.

  • Share minutes and/or other resources with TDL and the community

  • Promote engagement and foster an inclusive meeting experience.

  • Work with TDL to identify priorities for the service and user group.

  • Work with TDL to commission working groups or committees and to recruit individuals to serve on working groups and committees.

  • Provide an annual report of the group’s activities to the TDL board.

• Vice-Chair

  • In the absence of the chair, set and share out meeting agendas and preside at meetings.

• TDL Staff Co-Facilitator

  • Ensure appointment of chair.

  • Maintain calendar invitations for meetings and/or set up Zoom meetings.

  • Attend all meetings of the user group as able.

  • Update user group on important TDL developments relevant to the service.

  • Work with the chair to determine and guide activities of the User Group.

  • Texas Digital Library will provide infrastructure for group activities, including web conferencing software and space in our Confluence Wiki.

• Group members

  • Attend meetings as able.

  • Contribute to the group’s yearly goals as able.

  • Agree to abide by TDL’s Community Agreement. 

SERVICES & INITIATIVES

• Hold monthly virtual meetings to facilitate discussion and resource-sharing among libraries utilizing the OJS hosting service.

• Maintain an OJS User Group email list for members of the group.

• Review and create yearly goals.

• May create working groups to accomplish project goals. 

DURATION

The OJS User Group is a standing (permanent) group under the TDL’s definition of a User Group. TDL may choose to dissolve the group in the unlikely event that it ceases to provide the service associated with the group, or no longer has the resources to provide support and coordination for the group.
