Adding Filters

To add a filter, scroll down to the “Filter Further By” list. Select the filter parameters by clicking on the item you want to filter by. For example, clicking “May 2010” under the “Graduation Semester” filters, will filter out any ETDs that are NOT for students graduating in the May 2010 semester.

“AND” filters

Once you have a list of the May 2010 filters, you might narrow the list further by adding another filter.

For instance, you might want to see all the May 2010 ETDs that have been assigned to administrative user Jane Doe. To do so, click on Jane Doe’s name in the “Assigned To” category and the list will show only those ETDs that fit BOTH the “May 2010” criterion AND the “assigned to Jane Doe” criterion.

“OR” filters

Some of the filter categories allow you to filter for two or more items within the same category. “Assigned to” is one of these – you can filter the list to find records assigned to EITHER Jane Doe OR Stevie Ray Vaughn, by selecting both names under the “Assigned to” header. Doing so will broaden the list.

Once all of the above filters are in place, the resulting list of ETDs is the result of the following equation:

The following filter categories will allow you to choose multiple values within a category (“OR” filters). That is, you can filter for ETDs that have either one value or another value within a given category.

  • Assigned To
  • Status (second-level) (i.e., once you choose Active or Archived, you will be presented with multiple sub-options under status – Submitted, Under Review, etc. You can select multiple options within this list.)
  • Graduation Semester
  • Department
  • College
  • Document Type
  • Degree
  • Embargo
  • Submission Date (CHOOSE), which lists the available years of the submission

The following categories will only allow you to choose ONE item within each category. Once you have selected one item, the filter category itself will disappear from the list of available filters.

  • UMI Release
  • Submission Date (RANGE), which allows you to choose a range of dates

Status Filter

Note that when all filters are cleared, the STATUS category of filter has only two values: Active and Archived.

However, if you add the ACTIVE filter, a new list of filter options will appear in the STATUS category. The new list will include all of those Vireo ETD “states” that require further action by students or the graduate school to move them to an archived state.

If you click the ARCHIVED value, the list of new options that appears will all be states that an ETD can exist in once they are no longer active in the system.

Active States:

  • Submitted
  • Under Review
  • Needs Correction
  • Corrections Received
  • Waiting on Requirements
  • On Hold
  • Approved

Archived States:

  • Pending Publication
  • Published
  • Withdrawn
  • Cancelled

Submission Date

The Submission Date filter category works in a similar way to the Status filter category. If you choose a year value (e.g. “2009”) from this category, a new list of month values will appear (e.g. January, February, etc.). You can narrow your list further by choosing a specific month value. If you do that, a third list of values will appear in the Submission Date category, allowing you to select a date range (1-10, 11-20, etc.)

Note that you may also use the Submission Date (Range) search tool to filter by date. To use this search tool, enter the date range you wish to see using the date format MM/DD/YYYY and click GO.

In addition to using the preselected filters, you can perform a keyword search using the SEARCH BOX at the top of the “Filter Further By” section.

Type in your keyword and click GO. The keyword(s) will appear in the “Now Filtering By” section. You can use keyword searches as a filter parameter in conjunction with other filters.
