Digital Preservation Service off-boarding

TDL members may discontinue membership and/or the Digital Preservation Services (DPS) election, at which point both TDL and the originating member have decisions to make about their stored content. The following are considerations and procedures to follow when a member discontinues DPS membership.
StorageÂ
Members may have data stored in preservation storage in AWS S3, AWS Glacier, and/or Chronopolis.
Members may request data be removed or returned (see below for details about data removal). Such a request should be made within 3 months of notification of service discontinuation.
DuraCloud Dashboard
The member’s DuraCloud Dashboard will be eliminated, as well as their account(s) in the DuraCloud MC within 3 months of service and/or membership termination. The institution has that time to access their dashboard for any information they’d like to capture. Data may not, during this period, be added to any of the TDL Digital Preservation Service’s storage environments (AWS S3, Glacier, Chronopolis).
Data removal
To request that data be removed from any of TDL’s Digital Preservation Service options (AWS S3, AWS Glacier and Chronopolis), members should complete a request following these guidelines:
In an email or document delivered to TDL include:
[Depositor name] requests Data Removal from [AWS Glacier, AWS S3, Chronopolis] on or after [DATE of removal authorization]
Text: I hereby consent to the removal of the data collections listed below from the Texas Digital Library’s digital preservation service infrastructure in [AWS Glacier, AWS S3, Chronopolis]. I understand that once the data is removed from the system it will not be retrievable. I agree that the undersigned will not hold any of the above listed institutions liable for the removal of these collections.Â

Should the removal request include return of any or all of the data, please include the following:

Any fees accrued by TDL when returning the data, such as egress fees, will be invoiced to the institution requesting it.

Requests for data removel and return should be made within 3 months of notification of service discontinuation. After the 3-month mark, removal of the data from TDL storage will be done at TDL’s discretion.
