Sending Vireo Emails 

Vireo contains certain default email templates that the system can automatically send at different points in the ETD Workflow. Superusers/administrative managers can also create email templates that override the default templates, or that can be used for other communication purposes.

Email Templates and Automated System Emails

Vireo sends certain automated emails triggered by actions in the system (e.g. automatically to the student upon submission). These automated email templates themselves and the ability to create additional email templates can be configured in the Vireo Email Settings.

Sending Email 

Sending a Faculty Notification Email 

If Vireo is configured so that a notification email is NOT automatically sent to a student’s advisor upon submission, administrative users can manually send such an email within the View tab for an ETD record.

To do this, go to the View tab for an ETD record and navigate to the DEGREE INFO tab in the metadata section towards the top of the screen.

At the bottom left of the Degree Info box is a button that says SEND ADVISOR EMAIL.

Click on this button to send the faculty advisor notification email (as it is configured in the email settings). The email will be sent to the address appearing in the ADVISOR EMAIL field.

Sending Other Types of Email 

Administrative users can also email students (with or without cc’ing faculty) using the ADD COMMENT button found in the Action Log on the View tab.

To send an email to a student, enter the ETD record (View tab) and click ADD COMMENT at the bottom of the Action Log.

The ADD COMMENT popup box will appear. You can use this box to either: (1) add a comment that will appear in the Action Log or (2) compose an email and send it to the student (and, if necessary, copy the advisor as well).

To use the box to send an email, either compose an email in the text box provided, or select an email template from the dropdown list.

Select the checkbox next to “Email the student” and click SUBMIT.
