What is a Template?
Templates allow Collection Admin users to create pre-populated metadata values during the item submission process. For example, if every item for a given Collection is going to have the same license, you could create a template for the dc.rights.license field for that collection. Every time you add an item, the field will be pre-populated with that template value during the submission process.
Creating a Template
Step 1: Edit Collection and Add Template item
After a Collection has been created, the first step is to Edit the Collection.
At the top of the Edit Metadata tab, under “Template item,” click +ADD.
Step 2: Enter metadata for Template item
Enter the field label, value, and ISO code for the language of the template item. In the “Field” box, you can start typing the desired metadata element and select the appropriate component from the drop-down list, as shown in the screenshot below.
Step 3: Confirm and save the Template item.
After entering all the template item values, click the green checkbox to confirm the creation of the item.
After confirming the Template item, you can then edit, delete, or undo recent changes to the item using the Edit buttons. You can also add more Template items for the collection by clicking the “+ADD” button.
Once you have finished adding all Template items for the Collection, click “Save” at the bottom of the screen. You should see a confirmation message in the top right of your screen saving “Your changes to this item template's metadata were saved.”
Submitting an Item to a Collection with Templates
When you next submit an item to the Collection with the Template item(s) you created, the values you selected will be pre-populated in the submission form, as seen in the screenshot below:
Please note: The Template item only applies to items that are deposited going forward. It is not added as a metadata field to items already in the Collection prior to its creation.
