Batch Import Collection or Items

The Batch Import process can be used to upload anything to DSpace and is particularly useful when you have more than a handful of items. Though the batch load process saves a lot of time that you would otherwise spend manually uploading items one-by-one using the submission form in DSpace, it still requires time and attention to detail to prep the files correctly.

Prerequisites

Prepping Files and Metadata for Ingest

In order to batch ingest items, items and associated metadata must be bundled in the DSpace Simple Archive Format (SAF). Many DSpace users use the SAF Creator tool to automate this “bundling process.” For instructions on using the SAF Creator refer to this https://texasdigitallibrary.atlassian.net/wiki/spaces/DIGREP/pages/3277062202 document.

Using the Batch Import tool in DSpace

Once your batch has been prepared, follow the steps below to import into DSpace.

  • Login to Repository with Administrator privileges.

  • Move the cursor over the symbol of a document with an arrow over it at the upper left-hand corner of the screen and left-click

  • Select the Batch Import (ZIP) option

  • From the Import Batch page, select the collection you want to upload content to

  • Drag-and-drop the ZIP folder that contains your batch of items, or use the browse option to select the folder from your computer.

  • Uncheck the “Validate Only” option if you are ready to execute the batch upload.

Leaving the “Validate Only” box checked will produce a report about the detected changes in your batch upload, but the upload will not be saved.

  • Click Proceed

  • A success message will appear in the upper right corner when the batch import completes.

  • The page will redirect to the Process screen

  • Refresh the page to see the change in Status from RUNNING to COMPLETED.

  • Uploaded items will now appear in the designated collection
